
Supplier Code of Conduct
Abbey FM is committed to delivering safe, reliable and high-quality facilities management service to our clients. Our suppliers, subcontractors, and service partners ("Suppliers") play a critical role in helping us to achieve this.
This Supplier Code of Conduct outlines the minimum standards we expect from all Suppliers when working with Abbey FM.
1. Health, Safety and Environment

Suppliers must comply with all relevant health and safety legislation, including the Health and Safety at Work Act 1974

All operatives must be appropriately trained, competent, and use safe working practices at all times.

PPE (Personal Protective Equipment) must be provided and worn where required.

Suppliers must minimise environment impact, dispose of waste responsibly, and comply with environmental regulations.
2. Quality of Work

All work must be carried out to a high professional standard, in line with industry best practice.

Suppliers must use materials and equipment that meet relevant British Standards or equivalent.

Work must be completed on time and within agreed costs unless otherwise approved by Abbey FM.

Any defects, damage, or failures must be reported and rectified promptly.
3. Compliance & Certification

Suppliers must hold all necessary licenses, insurances, and certifications for their trade or service.

Evidence of Public Liability Insurance, Employers' Liability Insurance and trade accreditations (e.g, NICEIC, Gas Safe, BAFE) must be provided on request.

All compliance testing (e.g, EICR, PAT, Fire Alarm, Gas Safety, Legionella) must be carried out by competent, accredited professionals.

CIS (Construction Industry Scheme): Where applicable, suppliers must be registered with HMRC for CIS and provide Abbey FM with valid UTR, CIS status and company/individual details. Payments may be subject to CIS deductions unless gross status is verified.
4. Professional Conduct

All representatives must act in a professional, respectful and courteous manner when on-site.

No abusive, discriminatory or unprofessional behaviour will be tolerated.

Suppliers must respect client confidentiality and data protection requirements.

Operatives must arrive on time, wear appropriate uniform/PPE and present Abbey FM in a professional manner.
5. Communication & Reporting

Any incidents, near misses or delays must be reported immediately to Abbey FM.

Variations to scope of work must not be undertaken without prior written approval.

Suppliers must provide accurate paperwork (job sheets, certificates, invoices) promptly.
6. Ethical Standards

Suppliers must conduct business with integrity and in full compliance with UK laws and regulations.

No bribery, corruption or fraudulent practices will be tolerated.

Suppliers must provide equal opportunities and treat employees fairly.
7. Termination of Engagement
Failure to adhere to this Code of Conduct may result in:

Suspension of work orders.
-
Removal from Abbey FM's Approved Supplier List.

Termination of contract or agreement.
